Terms of Service for HVAC Work in Vermont

What Our Service Agreement Covers
Last updated: October 2026
This agreement covers heating, cooling, and ventilation work we perform at your Vermont property: diagnostics, repairs, equipment replacement, seasonal maintenance, and related ductwork or thermostat services. All work follows the Vermont Residential Building Energy Standards or Vermont Commercial Building Energy Standards, as applicable, along with the Vermont Fire and Building Safety Code.
Refrigerant work is handled by EPA Section 608 certified technicians in line with EPA refrigerant recovery and recycling regulations. Where permits are required, we coordinate with the Vermont Department of Public Safety, Division of Fire Safety, and for Burlington properties, the City of Burlington Department of Planning and Zoning and Burlington mechanical permit requirements.
Work not included here such as electrical panel upgrades, structural modifications, plumbing, or energy audits requested through the Vermont Department of Public Service requires a separate written agreement and quote before any of that work begins.
Booking, Rescheduling, and Cancellations
Appointments can be scheduled by phone or email. Once we confirm a time window, we ask that you provide at least 24 hours notice to cancel or reschedule. Appointments canceled with less notice, or where our technician arrives and cannot access the equipment, may be subject to a service call fee.
Vermont winters and storm conditions sometimes force us to move appointments for safety reasons. If that happens, we will contact you as soon as possible and offer the next available opening.
If we discover a problem during a visit that falls outside the original scope for example, a cracked heat exchanger found during a routine tune-up we will stop, explain the finding, and wait for your written or verbal approval before doing additional work. No extra charges are made without your sign-off.
Quotes, Pricing, and When Payment Is Due
Before most work begins, we provide a written estimate listing labor, materials, and any permit fees. Estimates are valid for 30 days because equipment and refrigerant costs change. Diagnostic fees, when they apply, are stated up front and credited toward the repair if you approve the work the same visit.
Payment is due upon completion unless other arrangements are made in writing before the job starts. For larger installations, we may request a deposit to order equipment; the amount and balance schedule will appear on your estimate.
If hidden conditions require extra work concealed duct damage, code corrections, or asbestos-adjacent materials we will provide a revised quote and get your approval before continuing. You are never billed for scope changes you did not approve.
Our Workmanship Guarantee
We stand behind the quality of our installation and repair labor. If a problem traces back to our workmanship, we will return and correct it at no charge for labor. The duration of this coverage is stated on your invoice or proposal, so review those documents for the term that applies to your job.
Equipment and parts are covered by the manufacturer’s own warranty, which we will help you register and use, but those warranties are the manufacturer’s responsibility, not ours.
Coverage can be voided when someone else services or alters the equipment after we finish, when the system is operated outside its intended use, or when required maintenance like filter changes is skipped. Damage from flooding, freezing, power surges, or unauthorized DIY repairs also falls outside this guarantee. Keep your invoice; it is your proof of coverage.
Limits on Our Liability
Our responsibility for any claim connected to work we perform is limited to the amount you paid us for that service. We are not responsible for pre-existing conditions we did not create and could not reasonably detect old wiring, corroded flues, undersized ducts, or equipment installed by others.
We do follow applicable rules, including EPA Section 608 refrigerant handling requirements, EPA refrigerant recovery and recycling regulations, the Vermont Fire and Building Safety Code, and Burlington mechanical permit requirements where they apply. Meeting those standards does not extend our liability beyond the service cost.
We are not liable for indirect losses such as spoiled food from a freezer failure, lost rental income, or hotel costs during a heating outage. Nothing in these terms limits liability that cannot be limited under Vermont law. If any clause here is unenforceable, the rest stays in effect.
Questions About These Terms
If anything here is unclear, call us at (555) 010-0000 or stop by our office at 100 Main St, Burlington, VT. We are happy to walk through any section in plain language before you sign a proposal or schedule service.
We may update these terms from time to time for example, when permit rules or state codes change. The version in effect is the one posted on our website when your work is scheduled, and we will flag material changes on active projects before they affect your job.
Continuing to use our services after an update means you accept the revised terms. For copies of past agreements, invoices, or warranty documents, contact us by phone or mail and we will get them to you.
